Consultation

  • Initial discussion of ceremony & reception ideas
  • Review secured vendors and vendor preferences
  • Wedding day overview - style, theme & size
  • Discuss budget & planning needs
  • Unlimited phone calls and e-mail
  • Prepare a wedding day time line
  • Gather vendor contact information
  • Telephone each vendor to confirm arrivals & setup times - two days prior to wedding day
  • Provide answers to vendor questions/problems
  • E-mail wedding time line to vendors
  • Finalize reception room layout

 

Rehearsal

  • One hour of rehearsal coordination

 

Ceremony

  • Arrive one hour prior to ceremony
  • Greet vendors, wedding party & family
  • Supervise setup of ceremony rentals
  • Supervise set up of ceremony flowers
  • Supervise photographer & videographer setup
  • Supervise setup of musicians and vocalist
  • Coordinate with ceremony location coordinator
  • Arrange guest book table and programs
  • Supervise setup of unity candle & memorial candles
  • Advise ushers or proper seating of family and guests
  • Confirm possession of rings prior to ceremony
  • Line up bridal party and family for processional
  • Cue musicians for entrance of processional
  • Make certain bridal party and family attire is in place
  • Cue bridal party & family to enter into ceremony
  • Assist with late arrivals or any possible distractions to the ceremony
  • Wedding day emergency kit
  • Line up bridal party for announcements at reception

 

Reception

  • Transfer guest book from ceremony to reception
  • Setup bridal portrait and engagement photos
  • Setup cake table with toasting glasses and cake cutting set
  • Supervise set up of table numbers and place cards
  • Set out favors, candles and menus on guest tables
  • Arrive prior to vendor setup at reception - if two consultants are hired
  • Supervise vendor and facility setup
  • Maintain and coordinate time line for all events during the reception
  • Cue bride & groom, bridal party & family for special events
  • Deliver final payments and Gratuities to vendors when applicable
